Please read these terms and conditions carefully before using Our Service.

1. Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. These definitions apply regardless of whether they appear in singular or plural.

Definitions

For the purposes of these Terms:

  • Account means a User’s registered access credentials to the Service, including accounts created via email/password, invitation, or passwordless magic link.
  • Affiliate means an entity that controls, is controlled by, or is under common control with a party, where “control” means ownership of 50% or more of the voting shares, equity interest, or other securities.
  • Brigade or Unit means an operational entity (region, district, group, or brigade) registered within an Organisation’s hierarchy on the Service.
  • Company (“the Company”, “We”, “Us”, “Our”) refers to FireHouse Labs, Victoria, Australia.
  • Content means any data, records, text, documents, images, photos, or other material submitted to, generated by, or stored within the Service, including but not limited to inspection records, vehicle and equipment logs, member records, hydrant data, and training/event records.
  • Country refers to Victoria, Australia.
  • Device means any device that can access the Service, such as a computer, smartphone, or tablet.
  • Organisation means the multi-tenant customer entity (e.g. a fire brigade, emergency service, or overseeing body) that has registered for the Service and under which one or more Units operate.
  • Public Access Feature means any feature of the Service accessible via a public link, QR code, or access token without requiring an Account, including public inspections, public brigade portals, public booking, and public hydrant workflows.
  • Service refers to the StationOne software-as-a-service platform, including the Website, associated mobile/native applications, and all related features.
  • Subscription means a paid plan for access to the Service, billed and managed via Our third-party payment processor.
  • Website refers to StationOne, accessible from https://stationone.com.au.
  • You or User means the individual, Organisation, or Unit accessing or using the Service.

2. Acknowledgment

These Terms govern Your use of the Service and form the agreement between You and the Company. By creating an Account, accepting an invitation, using a Public Access Feature, or otherwise accessing the Service, You agree to be bound by these Terms. If You disagree with any part of these Terms, You may not access the Service.

If You are accessing or using the Service on behalf of an Organisation or Unit, You represent that You have the authority to bind that entity to these Terms.

Your use of the Service is also conditioned on Your acceptance of Our Privacy Policy, which describes how We collect, use, and disclose personal information, and which You should read carefully before using the Service.

3. Accounts, Roles, and Access

Account Creation

Accounts may be created via direct registration, invitation from an existing Organisation or Unit administrator, or passwordless “magic link” login. Some individuals (e.g. physical brigade members recorded for roster or licensing purposes) may exist within the Service without an email address or login credentials; such records are managed entirely by the Organisation or Unit administrator responsible for them.

Roles and Permissions

The Service assigns Users one or more roles (e.g. super admin, organisation admin, region/district/group/brigade admin or user) that determine the scope of data and functionality they can access. Administrators are responsible for assigning appropriate roles and for the actions of Users within their Organisation or Unit.

Public Access Features

Certain features of the Service are made available without requiring a login, via unique, URL-safe access tokens (for example, QR-code-based inspections, public brigade portals, vehicle booking, hydrant runs, hose testing, and RSVP workflows). Anyone in possession of a valid token may use the corresponding Public Access Feature. Organisations and Units are responsible for controlling the distribution of, and regenerating when appropriate, their public access tokens. The Company is not responsible for use of a Public Access Feature by any person who obtains a token, whether or not authorized to do so.

Account Security

You are responsible for maintaining the confidentiality of Your login credentials and for all activity under Your Account. Notify Us immediately of any unauthorized use.

4. Software License Grant

Subject to Your compliance with these Terms and, where applicable, payment of applicable fees, the Company grants You a limited, non-exclusive, non-transferable, non-sublicensable, revocable license to access and use the Service for Your Organisation’s internal business purposes.

This license does not permit You to:

  • copy, modify, or create derivative works of the Service or its underlying software;
  • reverse engineer, decompile, or disassemble any part of the Service, except to the extent such restriction is prohibited by applicable law;
  • resell, sublicense, rent, lease, or otherwise make the Service available to any third party outside Your Organisation;
  • remove or obscure any proprietary notices; or
  • use the Service to build a competing product or service.

All rights not expressly granted to You are reserved by the Company. The Service, including its software, design, and documentation, is and remains the exclusive property of the Company and its licensors.

5. Subscriptions and Billing

Billing Models

Units may be billed directly (“independent” billing, including a trial period) or have their fees covered by their parent Organisation (“org-managed” billing). The applicable billing mode for a given Unit is configured by Organisation administrators and may change over time (for example, when an Organisation adopts a previously independent Unit).

Trials

New independent Units typically receive a trial period, during which the Service is provided free of charge. If a Subscription is not activated before the trial period ends, access to modification features may be restricted until a Subscription is established, though existing Content generally remains viewable.

Payment

Subscriptions are billed via Our third-party payment processor (Stripe) on a recurring basis at the rates in effect at the time of purchase. By subscribing, You authorize the Company (via its payment processor) to charge Your nominated payment method for all applicable fees. Fees are exclusive of taxes unless stated otherwise. Refunds, where issued (for example, on plan downgrades), are handled on a prorated basis at the Company’s discretion.

Changes and Cancellation

We may change Subscription pricing on reasonable prior notice. You may cancel a Subscription at any time; cancellation takes effect at the end of the current billing period unless otherwise stated. Non-payment may result in suspension or downgrade of Service access.

6. Your Content and Data

Ownership

As between You and the Company, You (or the Organisation/Unit You represent) retain all ownership rights in Content You submit to the Service, including inspection records, member data, vehicle and equipment records, and other operational data. The Company claims no ownership over Your Content.

License to Operate the Service

You grant the Company a limited license to host, store, process, and display Your Content solely as necessary to provide, maintain, and support the Service, including generating reports, sending notifications, and enabling Public Access Features You have chosen to enable.

Responsibility for Content

You are solely responsible for the accuracy, quality, and legality of Content You submit, and for ensuring You have all necessary rights and consents (including from individual members) to submit personal or sensitive information to the Service.

Data Export and Retention

Organisations may request an export of their Content. Upon termination of Your account, We will retain or delete Content in accordance with Our data retention practices and applicable law, as further described in Our Privacy Policy.

7. Important Notice: Safety and Compliance Responsibility

StationOne is a record-keeping, scheduling, and workflow management tool designed to help fire brigades and emergency service organisations track inspections, maintenance, training, and compliance activity. The Service does not replace, and is not a substitute for, Your Organisation’s statutory obligations, professional judgment, or independent safety procedures.

You acknowledge and agree that:

  • Inspection templates, scoring thresholds, and pass/fail determinations generated by the Service are tools to assist Your workflow and do not constitute professional, engineering, or safety certification;
  • The completeness and accuracy of inspection, maintenance, hydrant, and equipment records depends entirely on the information entered by Your Users and any third-party data sources (including ArcGIS-sourced hydrant data), which the Company does not independently verify;
  • You remain solely responsible for ensuring vehicles, equipment, hydrants, and personnel meet all applicable legal, regulatory, and operational safety requirements, irrespective of records held in the Service; and
  • The Company is not liable for any injury, loss, or damage arising from reliance on the Service in place of Your Organisation’s own safety and compliance obligations.

8. Third-Party Services

The Service integrates with and relies upon third-party providers, including payment processing (Stripe), cloud storage (Amazon Web Services), email delivery, and geospatial data providers (e.g. ArcGIS/state fire authority hydrant datasets). The Company is not responsible for the availability, accuracy, or practices of these third parties. Your use of features relying on third-party data is subject to the terms and accuracy limitations of that third party’s data source.

The Service may also contain links to third-party websites not owned or controlled by the Company. We assume no responsibility for the content, privacy policies, or practices of any such third-party sites, and recommend You review their terms independently.

9. Acceptable Use

You agree not to use the Service to:

  • upload unlawful, defamatory, or infringing Content;
  • attempt to gain unauthorized access to another Organisation’s or Unit’s data;
  • circumvent tenant isolation, access controls, or public token security;
  • introduce malware or interfere with the Service’s operation; or
  • use the Service in a manner that violates any applicable law or regulation.

10. Termination

We may suspend or terminate Your access to the Service, in whole or in part, without prior notice, for breach of these Terms, non-payment, or any other reason at Our discretion. You may terminate Your Account at any time by contacting Us or, where available, through Account settings.

Upon termination, Your right to use the Service ceases immediately, though provisions of these Terms that by their nature should survive (including ownership, disclaimers, liability limitations, and governing law) will continue to apply.

11. Limitation of Liability

To the maximum extent permitted by applicable law, the total aggregate liability of the Company and its suppliers arising out of or relating to the Service shall not exceed the amount actually paid by You (or Your Organisation) to the Company in the twelve (12) months preceding the event giving rise to the claim, or AUD $100 if no amount has been paid.

To the maximum extent permitted by applicable law, in no event shall the Company be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business interruption, arising out of or related to Your use of, or inability to use, the Service — even if advised of the possibility of such damages.

Nothing in these Terms excludes, restricts, or modifies any consumer guarantee, right, or remedy conferred on You by the Australian Consumer Law or any other applicable law that cannot lawfully be excluded, restricted, or modified. Where liability cannot be excluded but may be limited, Our liability is limited to the resupply of the Service or the cost of resupply, at Our election.

12. “AS IS” and “AS AVAILABLE” Disclaimer

The Service is provided “AS IS” and “AS AVAILABLE,” without warranties of any kind, whether express, implied, statutory, or otherwise, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement, except as required by law. The Company does not warrant that the Service will be uninterrupted, error-free, or free of harmful components, or that it will meet Your specific requirements.

13. Indemnification

You agree to indemnify and hold harmless the Company, its Affiliates, and their respective officers, employees, and agents from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising from Your breach of these Terms, Your Content, or Your misuse of the Service.

14. Governing Law and Disputes

These Terms are governed by the laws of Victoria, Australia, without regard to conflict of law principles. If You have a dispute about the Service, You agree to first attempt to resolve it informally by contacting the Company. Disputes not resolved informally shall be subject to the exclusive jurisdiction of the courts of Victoria, Australia.

15. Severability and Waiver

If any provision of these Terms is found unenforceable, it will be interpreted to best accomplish its objective under applicable law, and the remaining provisions will remain in full force. Failure to enforce a right under these Terms is not a waiver of that right.

16. Changes to These Terms

We may modify these Terms at any time. For material changes, We will make reasonable efforts to provide at least 30 days’ notice before the new terms take effect. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
